Role Overview

As a Client Experience Coordinator, you are the face of NexxMD. You will manage front desk operations, coordinate bookings, assist with clinic flow, and ensure every client feels cared for from the moment they arrive until they leave. Your role will involve balancing hospitality with efficiency, supporting both the client experience and the clinic team.

Key Responsibilities

• Greet clients and ensure a warm, professional first impression
• Manage bookings, confirmations, and schedule adjustments
• Coordinate client intake and assist with pre- and post-treatment paperwork
• Answer inquiries by phone, email, and in person with professionalism and accuracy
• Process payments and maintain accurate records
• Assist in organizing events, promotional campaigns, and product sales
• Support clinic staff with administrative and operational needs
• Ensure the reception area and client lounge reflect NexxMD’s luxury brand standards

Qualifications

• 1–2 years of experience in a client-facing or administrative role, preferably in a spa, medspa, or high-end retail environment
• Exceptional communication and interpersonal skills
• Strong organizational skills with attention to detail
• Comfortable using scheduling and POS systems (training provided)
• Ability to multitask in a fast-paced environment while maintaining a polished demeanor
• Passionate about beauty, aesthetics, and providing a luxury experience

Bonus Points:

• Experience in a medical or cosmetic clinic setting
• Familiarity with beauty and skincare treatments
• Fluency in additional languages (e.g., Mandarin, Farsi, Tagalog) is an asset for our diverse clientele
